The Events Manager is responsible for planning, coordinating and delivering LCBA events, including member meetings, consultation events, social gatherings, fundraising events, drop-ins, awareness events and community activities.

The role is practical and people-focused. The Events Manager makes sure events are organised, welcoming, safe, affordable and useful to members. They do not need to do everything themselves, but they should coordinate the people, plans and details needed to make events happen smoothly.

The Events Manager should work closely with the Events Committee and ensure that events support the wider aims of LCBA, including member engagement, welfare, fundraising, representation and community building.

What is expected of the person in the role:
  • Lead the planning and coordination of LCBA events.
  • Work with the Events Committee to agree event ideas, dates, venues and formats.
  • Prepare simple event plans, including timings, responsibilities and volunteer roles.
  • Work with the Treasurer to prepare and monitor event budgets.
  • Work with the Fundraising Officer where events involve fundraising.
  • Work with the Head of Communications and Liaison to promote events to members and the public.
  • Work with the Content Creator to plan event photography, social media content, event summaries and post-event updates.
  • Work with the Safeguarding and Welfare Officer to identify any welfare, safeguarding, accessibility or lone working issues.
  • Work with the Membership Secretary on event bookings, attendance lists, member check-in and sign-up opportunities.
  • Work with the Boat Specialist where an event involves practical boating advice, boat safety, facilities or waterside activity.
  • Arrange volunteers, rotas and practical support for events.
  • Ensure events are welcoming and accessible to different types of boaters.
  • Consider practical risks such as weather, waterside safety, food, access, transport, toilets, first aid and emergency contacts.
  • Keep a record of attendance, costs, donations, issues and learning points.
  • Report back to the committee after events.
  • Make sure no event commits LCBA to spending, contracts, public statements or significant risk without committee approval.
  • Attend any relevant training courses needed to fulfil the requirements of the position. 
  • Maintain a good standing in the community and represent LCBA in accordance with all internal policies.
Reports to: 
  • The Head of Communications and Liaison for publicity and member engagement matters.
  • The full LCBA Committee for event approval, budgets, risk and overall accountability.

Where an event is mainly a fundraising event, the Events Manager should work closely with and report jointly to the Fundraising Officer and Treasurer.

Deputised by: 
  • The Fundraising Officer should deputise where the event has a fundraising purpose.
  • The Membership Secretary should deputise where the event is mainly for members, such as a consultation, AGM, member meeting or recruitment event.
  • The Head of Communications and Liaison should provide cover for public communication about events if the Events Manager is unavailable.
  • The Content Creator may deputise for event photography, event updates, promotional content and post-event summaries, provided the content is approved where necessary.
  • The Safeguarding and Welfare Officer may advise or temporarily cover welfare and safety planning for events, but should not be expected to manage event logistics unless agreed.
Deputises for:
  • The Head of Communications and Liaison on event-related communication, event promotion, event updates and practical information for attendees, provided the message has been agreed where necessary.
  • The Membership Secretary where the matter involves event attendance lists, event bookings, member drop-ins, consultation events or member engagement at events.
  • The Fundraising Officer by coordinating fundraising events, donation points, volunteer rotas and event logistics when they are unavailable for the event day.
  • The Content Creator by identifying key moments, people, activities and stories to capture at events.
  • The Events Manager should not deputise for the Chair, Secretary, Treasurer, Safeguarding and Welfare Officer or Boat Specialist except where the matter is directly linked to event delivery and has been agreed by the committee.
